    Client Forecasts: There are specific jobs that you can raise that relate to client forecasts. Typically these jobs refer to annual budgets where there is no specified job. As specific opportunities are identified, they are raised as jobs and estimates created on those jobs. Those estimates then appear in the Sales Pipeline until the estimate is accepted by the client, at which point the amounts on the estimate are moved to the Billings Forecast.

    In the example below, a client has told you they have a budget of $600,000 to spend in the next 6 months

    Step 1: Use job type “Client Forecast”

    The “Client Forecast” job type is a system maintained job type. It is used specifically for client forecasts.

    Step 2: Create a kind code for the Forecast Income

    You can use an exiting GL account codes or create new GL codes for client forecasts. In this example an existing GL code is used.

    Note: To be able to calculate direct costs, the following settings are required:

    • select option “default to sub-contractor”

    set the mark up to more than 100% - this % is used to calculate implied direct costs

    Step 3: Create forecast job for the client.

    Step 4: Click on tab in the jobs screen

    In the example below,a client has told you they have a budget of $80000 to spend over the next 4 months.

    Step 5: Click on sign and select Forecast Income kind code

    Note: You may use existing kind codes which are used for jobs or create a kind code to monitor and report in the Client Forecast

    Step 6: Input $100k for six months from Nov 2018

    Note: if you exit out of the job and log back in again,the total displayed is $400k because:

    • the starting column is March 2018 which is the current processing period

    the total $400k is the total for the 12 months from March 2018 to Feb 2018

    If you wish to view the full period from Nov 2018 use to display the remaining months

    Step 7: Forecast Reports are available from Reports / Forecast Reports

    Step 8: Forecast Reports Menu provides the option to select various selection criteria for the reports. Some of the selection options are:

    • Specific: jobs; job types; job status; clients; parent clients; account director; account executive; kinds

    Financial years; “period to which actuals are to be used;

    Step 9: Sample report for Client Forecast Only

    Billings: $100,000 per month Direct Costs: $44,444 per month Income: $55,556 per month

    Note: $44,444 per month when marked up by 25% equals $55,555
