Configuring: Job Status
What is Job Status?
Use Job Status to indicate what state or stage a job is at.
JobBag comes with 6 basic statuses that can be modified to suit your Organisation. Choose colours and names for each Status. They can also be grouped
Job Statuses can be customised for the Job Types you have set up. Choose which Job Statuses are attached to a particular Job Type. For example, some in-house projects might only need a Live and Completed status.
It's designed to let others in your Organisation know what the status of a Job is, not for indicating current activity. If you need to know what the current activity on your Job is, refer to the Planning system.
How do I customise Job Statuses for my Organisation?
Locate the dialog in File > Configuration > Jobs > Job Statuses.
Status Types
View what stage a Job is in by checking the Planning Tab in the Jobs window, or the Visual Planning window. Once all tasks have been marked complete, a Job Status should be changed to Complete.
Job Status | Definition |
Proposed | This is a job that has not been given the go-ahead either by the client or internally. Mostly a Proposed job is one where the client has briefed you and requested you provide a quote/estimate on the brief. A Proposed job may have costs recorded against it as preliminary work is performed, however, it must be made Live before invoices can be raised against it. If a client never approves a job, its status should be changed to Cancelled. |
Live | This is a job in progress with or without an approved quote. Work is being performed, costs are being recorded and normally the job should proceed to its conclusion and be invoiced to the client. A Live job can be invoiced at any time and as often as necessary. When a quote is accepted on a proposed job, the user will be prompted “this job is Proposed - do you want to make it live?” |
On Hold | This is a job that is not proceeding at this time as it has run into some unforeseen delays and further progress is delayed at the client’s request. A job On hold can have costs entered and invoices raised against it. (Tip: If a client asked for a job to be put on hold, make sure you bill out what work has already been done!) |
Cancelled | A Cancelled job is generally a job that was originally raised as a proposed job but approval was never received from the client or even a pitch that the agency missed out on. It is usually a job that was not, and won’t be billed out. |
Dead | A Dead job is one that has been completed and invoiced. The same applies to jobs that may be partially completed, invoiced and then cancelled. The System Administrator makes decisions in the Users and Groups maintenance windows as to whether costs can be added to complete, cancelled or dead jobs. (Tip: Invoices, when marked “Final” can automatically change the status of a job to dead where this is helpful) |
Complete | A Complete job is one that is complete and ready for invoicing, or has had the final invoice raised and is waiting for an incomplete purchase order to be fulfilled. While there are incomplete purchase orders on a job, the job cannot be made Dead. |
Status Groups
Within the above groups, you may set up as many statuses as you need.
Example 1: In addition to a Live Status, you might want a status of “Ready to bill” to help the accounts department.
Example 2: You may expand the “Proposed” group to include “Waiting on client approval”.
Customise the colours of each Status so they are easy to see in the Jobs Worklist.
Link Job Types and Job Status
You can choose which job statuses to use with job types.
The status ‘Ready to bill’ does not apply to the job type 'Client Forecast'.
If the job status is created as below, when a client forecast job is created, the Ready to bill status will not appear for selection.
