    Article summary

    The documents tab on the jobs and clients window gives access to the documents related to the selected job or client. Below we’ll look at this tab from the perspective of the jobs window:

    All folders and files are shown in a tree list similar to what you would find in the finder or windows explorer. Note that you can specify which folders should be added to a job on creation as part of configuring a job type.

    We can see two optional folders in our documents overview which do not belong to the job itself. These are: Templates: This is a folder that exists in the root of the document store and, if it contains files, is visible on every client and every job for which the documents are stored within that document store. It is therefor a handy place to store files you frequently (re)use such as template documents, company logos, etc.

    Shared documents: This is a folder that is part of the documents that relate to the client for this job. This folder, if it contains files, is shown on every job for that client. It is a good place to store files related to that client that you often need when handling jobs for that client such as client logos, agreements, etc.

    Both these folders are presented as read only on the jobs window.

    The final folder, Testing, is a folder that has been added to this job.

    Right clicking on a file or folder will give you additional options:

     

    Alternatively you can access functionality through the buttons on the right hand side of this tab pane: This button will refresh the contents of the tab pane.

    This button will open the repository within finder/windows explorer provided webDAV access is supported by the operating system.

    This button will open the document info window for the selected file or folder. Click here for more information about the document info window

    This button will open a dialog asking you to select a file to add to the document repository.

    This button will download the selected file to your computer

    This button will open a dialog allowing you to add a new folder to the document repository

    This button will delete the selected file from the repository (providing you have the required permission to do so).

    This button will delete the selected folder from the repository (providing you have the required permission to do so).

    Finally it is possible to add files to the repository by dragging them from the finder/windows explorer into the document tab on the jobs window.

    If you drag a folder the contents of the folder is added to the repository as well.
